How to enter an invoice online by converting a PO

Under the 'Direct Invoicing' header, select 'Create Invoice from a Purchase Order' which will display customers that you are linked to.  If you then select 'Purchase Orders' beside the customer to invoice, you will see the outstanding POs on this account.

Clicking 'View' will open a screen showing relevant PO details, and towards the bottom of the screen are product details.  Clicking 'Create Invoice' in the centre of the screen allows you to start entering your invoice.

Invoice / Credit Note Type   Select whether you are entering an invoice or a credit note.
Customer Account No   Your customer’s statement account reference as it appears on your system (this information will be remembered after the first time that you enter it).
Delivery Account Reference   If you wish you can enter a delivery account to appear on the invoice.
Invoice Display Reference/Number   Invoice number on the invoice in your system.
Date on Invoice   Date to appear on the invoice.
Purchase Order (PO) Reference (This Invoice)   This will be loaded from the PO you are converting.
Include RCT Comment   Tick if the invoice should indicate that it is subject to the Relevant Contracts Tax.  This usually relates to labour supplied by a subcontractor for the performance of relevant operations in the construction, forestry or meat processing industry.
Number of Lines on Invoice   Total number of lines excluding headers.  If more lines are needed later, you can just change the number of lines here and click 'Update'.
Quantity Decimal Places   Number of decimal places required on quantities of product delivered or sold.
Item Price Value Decimal Places   Number of decimal places required on price values.
Summary Totals   Enter the Net, Gross and VAT values before adding invoice lines.  These are verified against the invoice line details before the invoice can be submitted.

Now you can enter Invoice Lines.  The lines that were entered on the PO will be loaded into the invoice lines grid. You can change the quantities and other details as required. If you need to add more lines, you can go back to the 'Number of Lines on Invoice' section and increase its value.

Once you are satisfied with your entry, click 'Preview to Send', which brings you to a page on which you can see a preview of the invoice you are about to send.  If any changes are needed, just click the blue 'Modify Invoice' link at the top of the page.

Below the invoice preview you will see the 'Dispatch Notifications' area, which shows the email address of the person within your organisation who will receive an email confirming that the invoice has been submitted successfully. This area is automatically populated with the email address used to login.

Finally, click 'Submit to OnePosting' to simply send the invoice, or click 'Submit to OnePosting - Enter Another' to submit and return to the create another invoice.
